Context

As one of Flanders' largest senior club associations, Neos VZW unites over 36.000 members across 227 clubs, each operating its own website and systems. To streamline member management and simplify event registrations, Neos needed a single, cohesive digital platform that could support its vast network and cater to the needs of an active senior community. Faced with a complex CMS, Neos partnered with Leap Forward and technical partner Numble to create a unified digital experience that would make member engagement, activity planning, and administration easier and more efficient for every club.

  • Enhancing member experience: develop a user-friendly platform that simplifies the journey for both members and non-members, making it easy to register, manage memberships, and engage with club activities.
  • Streamlining administration: implement a unified CMS to centralize member data, event registration, and financial management, drastically reducing the administrative workload across 227 clubs and 5 provincial operations.
  • Boosting digital skills: shift to an all-digital experience for activity planning and payments, empowering senior members to build their digital skills and engage more confidently with online tools.
  • Strengthening brand cohesion: establish a consistent digital identity across all club websites, ensuring each club aligns with Neos’s refreshed branding while maintaining local relevance and flexibility.

Co-creation with club members and hands-on user research

We began by engaging directly with Neos club representatives—including secretaries, presidents, and vice-presidents—through a series of co-creation workshops. These sessions were crucial for identifying the everyday challenges faced by club leaders and members alike. By actively involving them in the process, we could map out the essential features they needed, from streamlined event registration and digital member management to simplified financial tracking.

Our team then conducted usability testing, examining how members navigated through tasks and interacted with the system. This research allowed us to design a more intuitive layout and improve the user journey based on real-life usage. With these insights, we co-created a system tailored to Neos's requirements, ensuring the platform was not only practical but also easy to adopt for a broad range of users across all 227 clubs.

User-centered design and empowering digital skills

To bring Neos’s refreshed branding to life, we established a comprehensive design system that combined flexibility with consistency. With a user-centered approach, we crafted an intuitive website architecture, significantly enhancing usability for both tech-savvy and less digitally experienced members.

The platform now enables members to register for events, manage memberships, and make payments online—a major shift that challenges the stereotype that seniors are digitally hesitant. By introducing these new tools, Neos is empowering its members to build digital skills and engage in a more modernized community, elevating the organisation to meet the needs of a digitally-connected generation of seniors.

A future-proof tech stack

Built on the robust Umbraco CMS in collaboration with our technical partner Numble, the Neos platform provides a flexible and user-friendly content management system that meets the needs of all 227 local clubs. The back-office software enables each club to easily manage content, register members, and handle event sign-ups—all from a centralised dashboard. To streamline financial operations, we incorporated a secure, digital payment system, allowing members to register and pay online. This fully integrated digital ecosystem not only simplifies administration but also provides members with a seamless, modernised experience, making it easier than ever for Neos to foster community engagement in the digital age.
